About the Time to Fill Calculator
The Time to Fill Calculator turns a stack of individual hiring timelines into a single average that shows how long it typically takes a company to close an open position, from job posting to accepted offer. Recruiting teams use it to benchmark their own hiring speed, spot roles that are dragging down the average, and report a clean metric to leadership.
How It Works
You enter the summed total of days it took to fill all the positions in a given period and the number of positions actually filled during that period. The calculator divides total days by positions filled to produce the average time to fill, expressed in days. It requires at least one filled position, since dividing by zero positions has no defined result.
Formula & Methodology
To build the numerator by hand, log the number of calendar days between when each requisition opened and when the candidate accepted, then add every role's day count together. Divide that combined total by how many roles closed in the same window. Because the input is a sum rather than a list of individual durations, the calculator has no way to flag outliers on its own - a single unusually slow executive search can pull the average up even though most roles filled quickly.
Examples
Small hiring batch
A company filled 6 positions with a combined total of 210 days across all of them. Average Time to Fill = 210 / 6 = 35.0 days.
High-volume quarter
A retail chain filled 40 store-level positions with a summed total of 920 days. Average Time to Fill = 920 / 40 = 23.0 days, reflecting faster-moving frontline roles.

- If positions filled is zero or left blank, the calculator returns an error instead of a result, since average time to fill is undefined with no completed hires.
- Mixing very different role types (entry-level and executive) in one total will produce a blended average that may not represent either group well.
- The result is only as accurate as how consistently 'day one' and 'filled' are defined - some teams start the clock at requisition approval, others at job posting date.
